Tellent AI Transparency & Use Statement

1. Definitions

This AI Transparency & Use Statement (“AI Statement”) describes how Tellent and its affiliates (“Tellent”, “we”, “us” or “our”) incorporate and use Artificial Intelligence (“AI”) technologies in connection with the provision of our Services to you as our customer (“you”), including Tellent Recruitee, Tellent HR, and related features that may use AI (“Services”).

For the purposes of this AI Statement:

  • “AI” means software or machine-based systems that perform tasks that would otherwise require human intelligence, including generating content, predictions, suggestions, recommendations, summaries, analyses, or automated responses.
  • “AI Output” means any content, prediction, suggestion, recommendation, summary, analysis, or decision support produced by an AI system.

2. Scope and Purpose of AI in our Services

Tellent may provide you with AI-assisted features designed to improve efficiency, automate repetitive tasks, and support human decision-making. Examples include, but are not limited to:

  • automated summarisation, translation or text generation;
  • data insights and analysis;
  • assistance with drafting job postings and candidate communication; and
  • workflow automation and contextual suggestions.

You retain control over whether and how to use AI-assisted features within the Services, and may enable or disable AI-assisted features at any time where technically feasible.

3. Transparency and User Awareness

3.1 Distinction from Human Interaction Where you interact with an AI system in the course of using the Services, Tellent will make reasonable efforts to ensure you are informed that the interaction involves an AI system. You will not be led to believe an AI system is a human agent.

3.2 Identification of AI Output AI-generated or substantially AI-influenced content will be presented in a manner designed to help you distinguish it from content created solely by humans, including labels or explanatory text indicating such origin.

3.3 Customer Disclosure Responsibilities Where you deploy AI systems that interact with third parties, including candidates, employees, or other individuals, you are responsible for providing disclosures or transparency notifications required by applicable law in your jurisdiction.

4. Fairness and Harm Prevention

4.1 Fairness and Non-Discrimination We design our AI systems to reduce the risk of biased, discriminatory, or unfair outcomes. While no system can guarantee absolute fairness, Tellent strives to apply best practices to mitigate bias and promote equitable treatment. You should always evaluate outputs critically and apply your own legal, operational, and professional judgment to ensure fair outcomes.

4.2 No Harmful Content Tellent’s AI features are engineered to avoid the production, amplification, or dissemination of unlawful, harmful, offensive, or unsafe outputs. We monitor outputs and implement safeguards intended to reduce those risks wherever practicable. You remain responsible for critically assessing all outputs using your own professional judgment before use or distribution.

5. Data Protection and Information Security

5.1 Data Protection Any processing of personal data by AI systems is subject to and governed by the Tellent Terms & Conditions, which explain how personal data is collected, used, disclosed and protected. We do not use your data to train AI models or for any secondary purposes beyond providing the Services, unless explicitly stated in our Tellent Terms & Conditions.

5.2 Security Tellent has implemented appropriate organisational and technical measures to safeguard the integrity, confidentiality and availability of data processed by AI systems, and has its security measures annually audited to the SOC II Type 2 standard and is ISO 27001 certified. We conduct regular reviews and updates to those measures to address evolving risks.

6. Human Oversight, Monitoring and Accountability

6.1 Human Oversight Tellent’s AI features are intended to assist, not replace, human judgment. You remain responsible for reviewing and acting on AI Outputs and should exercise critical evaluation informed by your legal, operational, and professional expertise. Supervisory controls are in place where AI Outputs could materially influence decisions about individuals.

6.2 Monitoring and Logging We monitor AI system performance, behaviour, and logs to detect anomalies, safety incidents, compliance concerns, or material risks. This enables ongoing assessment and refinement of AI systems. While we monitor system-level performance, you remain responsible for evaluating AI Outputs within your specific operational context and promptly reporting any inaccuracies, unexpected behaviours, or concerns that may affect your use of the Services.

6.3 Accountability and Reporting Tellent maintains accountability and reporting mechanisms, including internal review processes and personnel oversight, to ensure compliance with applicable law. If you identify issues with AI behaviour, output quality, or potential harms, please report them through our support channels. Your feedback helps us identify edge cases and improve our AI systems.

7. Limitations and Accuracy of AI Outputs

AI systems, while powerful, have inherent limitations. AI Outputs may be incomplete, inaccurate, or unsuited for specific contexts. We recommend you:

  • verify critical information before relying on AI Outputs;
  • apply your professional judgment and expertise when reviewing suggestions; and
  • consider the specific legal and regulatory requirements applicable to your use case.

8. Updates to this AI Statement

Tellent may update this AI Statement from time to time to reflect changes in applicable law, enhancements to our Services, or evolving AI governance practices. Material changes will be reflected by a corresponding update to the “Last modified” date above and, where appropriate, communicated through the Help Center or within the Services.
